For organizers we may process organization and contact details, sports activity information, venue and timing, volunteer requirements, transport information, coverage selections and transaction records.

For volunteers we may process name, contact details, city, age band, school or university where supplied, interests, availability, activity invitations, acceptance/reconfirmation status, check-in/check-out records and verified volunteer time.

We use this information to operate the sports-volunteer marketplace, match volunteers with suitable activities, communicate activity details, record verified participation, calculate organizer fees, support certificates, prevent abuse and meet legal/accounting obligations.

Relevant volunteer and activity information may be shared with the participating sports organization where necessary to arrange and operate an accepted activity. Payment information is handled by the stated payment provider. Service providers may process data only as needed to operate RunYourEvent.

RunYourEvent uses infrastructure providers including Vercel for hosting and Supabase for database services. Stripe may be used for organizer invoices and payments. Other providers may be added where necessary to deliver communications, protection or operational services.

RunYourEvent is designed to support volunteers from age 16. For volunteers under 18, additional guardian-consent or safeguarding steps may be required depending on the activity and applicable rules. Sports organizations remain responsible for activity-level supervision and safeguarding.

Check-in, check-out and organizer verification may be used to calculate verified volunteer hours and certificate eligibility. Certificate records may include a unique verification identifier.

We retain volunteer profiles while participation remains active or as reasonably needed for the stated purposes. Attendance, certificate, transaction and accounting records may be retained for longer where necessary for verification, dispute handling or legal obligations.

Some service providers may process data outside the European Economic Area. Where required, appropriate transfer safeguards are used by the relevant provider/controller arrangement.

Subject to applicable law, you may request access, correction, deletion, restriction, portability or object to certain processing. You may also lodge a complaint with a competent data-protection authority.
